As of January 1, 2020, the Florida Secretary of State approved Remote Online Notarization (RON), which expanded the concept of “appearance” before a Notary Public to two-way electronic audio-video communication. This means that both parties—the signatory and the notary public—must see and communicate with each other electronically, as approved by Florida law. (Florida Statutes §117.209(2))

What are the requirements to access the Remote Online Notary Service?

Since notarization is done electronically, the signatory(ies) must have

  1. A desktop computer, laptop, tablet, or smartphone (with a camera and microphone).
  2. Reliable, high-speed internet connection.
  3. Each signatory must have their own email address.

The signatory must present one of the following documents:

  • U.S. Passport
  • Passport from any other country (not a foreign ID)
  • Driver’s license or identification card from Florida or any state or territory of the U.S., Canada, or Mexico
  • USCIS ID card
  • U.S. Uniformed Services ID card
It is important to note that foreign citizens or those physically present outside the United States must present a valid passport from any country or a photo ID issued by the United States government. The photo ID must be current or have been issued within the last five years, and the original document must be presented to the notary public at the time of the online notarization.

Before proceeding, if you meet all the requirements make sure that:

The signatory must present one of the following documents:

  1. The document(s) you are sending for notarization are complete (with all pages). All required fields must be filled out, as they cannot be notarized if there are any blank spaces.
  2. The signer must know and understand the content of the documents, have previously clarified any doubts, and, if necessary, have obtained the appropriate legal advice from their attorney.
  3. The signer must understand that the Online Notary Public is NOT a lawyer and therefore cannot explain the legal scope of the document or provide any legal advice.
  4. If the document to be signed is in Spanish, the notarial certificate (the portion to be signed by the notary public) must be in English.
